The basics of booking with us.

1. About these terms

These terms apply to all bookings for mobile coffee van and barista hire provided by Java John's ("we", "us"). By confirming a booking you agree to them. Your quote may contain additional details specific to your event, which form part of the agreement.

2. Quotes & bookings

Quotes are based on the information you give us (date, location, timings and guest numbers) and are valid for [30] days. A booking is confirmed once you have accepted the quote and paid any deposit we ask for.

3. Payment & deposit

To secure your date we may require a deposit of [£X / X%], with the balance due [before / on] the event date. [Set out your accepted payment methods.] VAT is not currently charged.

4. Changes & cancellations

If you need to change or cancel your booking, please let us know as soon as possible. [Set your cancellation policy here — e.g. deposits are non-refundable; cancellations within X days of the event may be charged in full.] If we have to cancel due to circumstances beyond our control, we will offer a full refund of any sums paid or, where possible, an alternative date.

5. On the day — access & set-up

Our van and cart are fully self-contained and self-powered, so power and water are not essential. You agree to provide:

  • Reasonable access for our vehicle to reach the serving location
  • A suitable, level area for the cart to set up safely
  • Somewhere to park for the duration of the event, where required

Please tell us in advance about stairs, long carries, time limits or any access restrictions so we can plan accordingly.

6. What's included

Your package and menu are set out in your quote. Additional hours, extra baristas, travel beyond the included area and bespoke extras are charged as agreed in advance.

7. Allergies & dietary needs

We carry dairy and a range of plant-based milks and can cater for many dietary needs. While we take care to prevent cross-contamination, our drinks are prepared in an environment that handles milk and other allergens, so we cannot guarantee a drink is completely free from any given allergen. Please tell us about serious allergies before the event.

8. Liability

We hold public liability insurance and operate to current food hygiene standards. We are not liable for delays or failures caused by events outside our reasonable control (for example severe weather, road closures or breakdowns), although we will always do our best to find a solution. Nothing in these terms limits our liability where it would be unlawful to do so.

9. Photography

We may take photos of our set-up at events for our portfolio and social media. If you would prefer we didn't, just let us know.
